An opportunity to join a great team at Camp Chewonki!  This is a full time seasonal position, but we will consider part time until the season is underway.  

The Camp Administrative Assistant plays an integral part in supporting the camp team to allow for exceptional programming for all Chewonki participants. This position provides office support to the camp administrative team. Routine tasks include phone coverage, mail delivering and sorting, and general office help for directors, administrators, and seasonal camp staff.

ESSENTIAL RESPONSIBILITIES

  • Answer and direct incoming telephone calls
  • Work to honor and uphold the principles of diversity, equity, inclusion, and an anti-racist mind-set in the interest of participants and staff across the organization
  • General office tasks and support staff in these tasks as well, including but not limited to:
    • Set up office spaces in anticipation of coming season
      • Clean, direct furniture set up, order supplies, set up copier areas, print phone lists
      • Oversee office spaces for orderliness, complete general cleanup, and restock with office supplies as needed
      • Break down temporary office spaces (clearly marking and safely storing supplies), lean and leave areas ready for next program needs
    • Create reports – arrival/departure lists, trip leader lists
    • Help administer family correspondence projects (start of session emails, end of session letters to participants, etc.)

    • Mail
      • Setup and maintain camp mailboxes
      • Distribute incoming camp mail
      • Review outgoing camper mail
      • Scan international mail and email to recipients

    • Cabin supply boxes
      • Assist in the initial setup of cabin supply boxes
      • Maintain boxes throughout the season
      • Order necessary inventory through appropriate channels
      • Wrap up and neatly store at end of the season

    • Visitors (if applicable)
      • Promptly respond to visit & tour requests
      • Schedule visits, adding to appropriate calendar(s)
      • Inform counselor of visit
      • Inform kitchen if a meal is included in visit
    • Events
      • Take part in opening and closing days
      • Assist in the planning and facilitation of banquets
      • Assist in the planning and facilitation of staff celebrations

ADDITIONAL RESPONSIBILITIES

  • Represent Chewonki in the greater community in a responsible manner

REQUIRED SKILLS

  • Strong organizational skills
  • Digital literacy with Google Workspace

This is a non-exempt, seasonal position, with a pay range of $14 – $17/hr based on experience.
