The Administrative Assistant in Human Resource Administration assists with the day-to-day operations of the human resources office. The Assistant carries out responsibilities in some or all of the following functional areas: benefits, payroll, hiring, and orientation. This position works to provide friendly and clear communication with staff while ensuring confidentiality and compliance. This position is temporarily working from home with occasional visits to campus to complete tasks within the position responsibilities.

Schedule (hours and weeks): 32.5 – 40 hours/week, year-round

  • Able to exhibit a high level of confidentiality
  • Access information and support the work of human resources with use of Google Apps and databases, including Salesforce
  • Complete ADP (payroll database) training
  • Assist in the tracking of staff development, trainings, and certifications
  • Assist employees and supervisors with basic interpretation of HR policies and procedures
  • Assist with new employee orientations
  • Maintain confidential personnel files 
  • Assist in the preparation of job postings
    • Post to website
    • Advertise – newspapers, websites, and social media
  • Process employment applications and prepare for hiring teams
  • Respond to reference requests and verifications of employment status
  • Assist with benefits administration and payment of monthly benefits


  • Secondary Phone Support – Answer incoming phone calls in a pleasant and professional manner, provide program information or transfer calls to the appropriate person or department
  • Serve as back-up coverage of reception area and responsibilities associated with it including processing mail, checks, and welcoming visitors
  • Provide administrative support for other programs and departments as assigned
  • Other work or projects as assigned
  • Enthusiasm for getting to know the participants and staff through community interactions
  • Participate in committees, workdays, and events for the Chewonki community 


  • Proven ability to maintain confidentiality
  • Ability to navigate new software and processes 
  • Proficiency with Google Workspace and Chrome OS is required
  • Prior experience in administrative support roles
  • Experience working from a remote location
  • Must have reliable internet access and basic office equipment 
  • A willingness to learn and take direction
  • General knowledge of employment law and practices
  • Interest in continued education and certifications in human resources, preference given to those with Society of Human Resource Management certification
  • Strong customer service skills, patience, and the ability to communicate effectively
  • Good prioritization and organizational skills
  • Self-starter and able to work independently with a high level of attention to detail


This non-exempt position has a pay range of $14.50 – $19/per hour based on employment experience.  Benefits include health insurance, life insurance, dental insurance, optional vision insurance, long-term disability, 403(b) retirement plan (currently matching up to 4.5% after one year of service), paid time off, and access to professional development funds.
